Purpose:
Reporting to the Senior Vice President, the position of Executive Secretary will provide administrative services including: managing and coordinating the flow of information from and to the Senior Vice President’s Office; ensuring effective and efficient operation of the office; coordinating and maintaining the Senior Vice President’s schedule; coordinating, organizing and planning multi-faceted meetings/events; monitoring and analyzing departmental budgets. Performs other duties consistent with the job classification as required including preparing correspondence, confidential minute taking and follow-up of senior management meetings, conducting research, compiling data, maintaining records, et cetera.
Education and Training:
- Must have Grade 12 Diploma with a certificate or diploma from a recognized secretarial program
Experience:
- Minimum of three (3) to five (5) years recent/relevant administrative secretarial experience working at a senior management level
- Preference will be given to candidates who have experience working in a healthcare setting
Knowledge/ Skills/Ability:
- Demonstrated proficiency with Microsoft Office software, i.e. Excel, Word, Power Point and Outlook
- Proficient in taking and transcribing minutes with the confidence to take minutes on a projected screen in a group setting
- Demonstrated ability to manage daily correspondence, diversified workload and rapidly changing priorities with challenging deadlines
- Demonstrated ability to effectively communicate (both written and verbal) with a variety of medical and non-medical personnel and other clients
- Ability to communicate in both official languages is preferred
- Excellent problem solving, priority/time management and leadership skills
- Proven ability to work independently as well as share workloads in a team environment
- Evidence of strong organizational skills with the ability to prioritize and work under pressure to meet tight timelines
- Discretion and maturity in handling confidential matters is essential
Personal Suitability:
- Must be a self-starter and a highly motivated individual
- Ability to work flexible hours (attendance at evening committee meetings as required)
- Positive work and good attendance record with a commitment to continuous quality improvement
