KEY FUNCTION

Perform reception and clerical functions for the Cardiac and Pulmonary Rehabilitation department. 

 

REPORTING

Under the general direction of the Clinical Manager, Cardiac and Pulmonary Rehabilitation, Integrated Chronic Pain, Chronic Disease Self-Management, HAVEN/Hemophilia/Hemoglobinopathy, Outpatient Brain Injury Rehabilitation Program and Outpatient Neurological Rehabilitation Program.

 

DUTIES:

  1. Answer all incoming calls, respond to general inquiries and refer to appropriate services as required.
  2. Process automated client referrals from inpatient units and primary care providers.
  3. Schedule intake assessments and follow-up visits with clients.
  4. Screen, register and attend to clients upon arrival to the department.
  5. Coordinate client education sessions (i.e. room, set-up, packages, attendance and feedback).
  6. Compile program statistics as required.
  7. Maintain filing systems and order office supplies.
  8. Work closely with the YMCA and Older Adult Centre to ensure shared space, education rooms and fitness area are available and used to maximum effectiveness.
  9. Provide support to fundraising activities as required.
  10. Type a variety of correspondence including statistics, client information, reports, pamphlets and letters.
  11. Receive, open and distribute departmental mail.
  12. Record and distribute minutes of meetings.
  13. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  14. Participate in hospital training as required.
  15. Assist with improvement initiatives as required.
  16. Perform other duties as required. 

 

QUALIFICATIONS

EDUCATION AND TRAINING: 

  1. Minimum of a one (1) year Post-Secondary Certificate or Diploma in office or business administration from an accredited community college.
  2. Graduate from a recognized Medical Secretary Program is preferred.
  3. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

 

EXPERIENCE: 

  1. One (1) year recent relevant experience is preferred.
  2. Recent experience working with Patient Care System (PCS) electronic documenting is preferred.
  3. Experience in booking virtual visits using Ontario Telemedicine Network suite of tools is required.

 

KNOWLEDGE/SKILLS/ABILITIES: 

  1. Demonstrated ability to type a minimum of 50 words per minute.
  2. Demonstrated proficiency in data entry.
  3. Demonstrated critical thinking, problem solving, and customer service skills.
  4. Demonstrated discretion and maturity when handling confidential information.
  5. Demonstrated computer skills with intermediate proficiency in Microsoft Office software (e.g. Word, Excel and Outlook) and applicable patient information systems. 
  6. Demonstrated ability to effectively interact and communicate with patients, families and healthcare workers. 
  7. Demonstrated interpersonal and communication skills.
  8. Demonstrated ability to prioritize tasks. 
  9. Demonstrated compliance with HSN’s privacy policy.
  10. Demonstrated commitment to the safety of co-workers and patients.

 

PERSONAL SUITABILITY: 

  1. Successful Criminal Record Judicial Matters Check (CRJMC) is required.
  2. Demonstrated ability to work effectively as a member of an interdisciplinary team.
  3. Ability to use tact and discretion in dealing with health care providers and patients.
  4. Demonstrated commitment to ongoing professional development.
  5. Demonstrated professionalism in dealing with confidential and sensitive issues.
  6. Demonstrated positive work record and good attendance record.
  7. Ability to meet the physical and sensory demands of the job
