KEY FUNCTION:
Coordinate all matters pertaining to undergraduate medical learner placements and promote the academic mission of HSN.
REPORTING:
Under the general direction of the Director, Academic and Research Impact.
DUTIES:
- Coordinate placement plans for the Medical and Physician Assistant (PA) students to include schedules with department Clinical Leaders and appropriate medical staff.
- Process, screen, and verify Medical and PA student applications to ensure all credentialing requirements have been met.
- Ensure all Medical and PA students have successfully completed legislative required self-learning packages with continued monitoring for expiration and renewal.
- Provide orientation to incoming learners, including providing scrubs, lockers, call rooms, photo identification, parking information, HSN policies and procedures, and appropriate Information Technology (IT) access and training.
- Maintain Foundations of Interprofessional Team-Based (FIT) session in the Learner Database and facilitate payment.
- Coordinate learner schedules with each department's Academic Lead, Chief, and affected Medical staff.
- Coordinate and support the Phase Two (2), third-year medical student program, including arranging daily clinical placements with Physicians at HSN and in the community, in collaboration with the Sudbury Site Liaison Lead (Physician).
- Manage the timely collection, completion, and submission of all Phase Two (2) evaluations, required documentation, and practice examinations.
- Advocate for learners by addressing questions, concerns, and feedback effectively and confidentially.
- Maintain a database of all Medical and PA student placements, rotations, and electives.
- Work collaboratively with the Occupational Health and Safety (OH&S) department concerning any incidents, exposures, or issues relating to Medical and PA students to ensure no harm is done to the learner, patient, or staff.
- Plan, measure, and forecast capacity of HSN and its medical staff in conjunction with the Vice President of Academic and Medical Affairs.
- Act as a resource for the Medical Education Committee (MEC) and Continuing Medical Education (CME) Planning Committee in coordinating monthly meetings, notices, agenda, minutes, and follow-ups.
- Support Coordination of Grand Rounds in accordance with the Royal College of Physicians and Surgeons of Canada (RCPSC) and College of Family Physicians of Canada (CFPC) accreditation standards.
- Review the quarterly Medical Trainee Data (MTD) from the NOSM University for accuracy before submissions to the Ministry of Health and Long-Term Care (MoHLTC).
- Promote recruitment opportunities to medical learners in an effort to make anticipated recruitment priorities visible.
- Create reports and develop policies.
- Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
- Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
- Educate and promote health, safety and wellness in the work place.
- Represent the department on various committees as required.
- Perform other duties as required
EDUCATION AND TRAINING:
- Minimum of a three (3) year Diploma in a related field, from an accredited college.
- Additional specialized training is preferred.
- Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.
EXPERIENCE:
- Minimum of two (2) years’ experience working within a health care environment.
KNOWLEDGE/SKILLS/ABILITIES:
- Demonstrated knowledge of the Professional Association of Interns and Residents of Ontario (PAIRO) Agreement (e.g. working conditions for all residents).
- Demonstrated excellent presentation skills.
- Demonstrated training, experience or utilization of quality improvement methodology for process improvement.
- Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
- Demonstrated excellent computer skills with proficiency in Microsoft Office software ( e.g. Word, Excel, Power Point and Outlook) and patient information systems.
- Demonstrated superior interpersonal and communication skills, both written and verbal.
- Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.
- Demonstrated discretion and maturity when handling confidential information.
- Demonstrated commitment to the safety of co-workers and patients.
