KEY FUNCTION:
Schedule patient appointments, operative procedures, and screenings, prepare reports, monitor waitlists, and interact with surgical patients, physicians, and physician offices.

 

REPORTING:
Under the general direction of the Clinical Manager, Pre-Admission/Day Surgery/Surgical Short Stay, Blood Conservation, Pain Management.

 

DUTIES:

1. Develop and update surgical waitlists and Operating Room grid using computerized surgical scheduling systems (i.e. Meditech Expanse, Wait Time Information System (WTIS), and Community Wide Scheduling (CWS)).

2. Edit Surgical grid (i.e. identify errors or conflicts, assign extra cases, adjust case bookings), confirm final booking assignments with designated personnel and manage surgical case cancellations.

3. Communicate and collaborate with Admitting, equipment procurement, Diagnostic Imaging, nursing units, anesthetists, surgeons and other departments.

4. Instruct patients/family of pre-operative instructions for the Pre-Admission Clinic visit and other appointments.

5. Compile, maintain, and distribute designated surgical usage/surgical statistical data, and generate a variety of reports relating to surgical waitlists.

6. Assist in training and education regarding the surgical booking process to physician office staff and internal staff who are responsible for scheduling as required. 

7. Input patient data and transcribe information into relevant systems.

8. Act as a communication link for the unit (e.g. liaise with surgeon offices and specialty clinics to support meeting surgery access targets as outlined by Ontario Health).

9. Assemble patient charts, enter data into a computerized system, and collect statistical data as required.
10. Answer, screen and direct incoming telephone calls.
11. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.

12. Participate in hospital training as required.
13. Assist with improvement initiatives as required.
14. Perform other duties as required.

 

QUALIFICATIONS
EDUCATION AND TRAINING:
1. Minimum of a one (1) year Diploma in a Medical Office Administration or related field from an accredited college.
2. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

 

EXPERIENCE:
1. One (1) year recent relevant experience within the surgical program in the last five (5) years is preferred.

 

KNOWLEDGE/SKILLS/ABILITIES:
1. Demonstrated knowledge of and proficiency in Medical Terminology.
2. Demonstrated ability to accurately type a minimum of 50 words per minute.
3. Demonstrated proficiency in maintaining lists.
4. Demonstrated proficiency in data entry.
5. Demonstrated ability to work in a fast-paced environment.
6. Demonstrated computer skills with intermediate proficiency in Microsoft Office software (e.g. Word, Excel, and Outlook) and applicable patient information systems (e.g. Meditech Expanse and WTIS).
7. Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers.
8. Demonstrated interpersonal and communication skills.
9. Demonstrated ability to prioritize tasks.
10. Demonstrated compliance with HSN’s privacy policy.
11. Demonstrated commitment to the safety of co-workers and patients.
