KEY FUNCTION

Provide clerical and administrative support to HSN’s Human Resources functions and provide front line support to HSN employees and visitors presenting to Human Resources in person, via email or phone.


REPORTING
 

Under the general direction of the Manager, Recruitment.


DUTIES
:

  1. Provide informational and administrative support to the Human Resources (HR) department, management, and employees regarding HR activities, policies, processes, and procedures.
  2. Provide assistance to the recruitment, compensation, and benefits functions of HSN, including unionized, non-unionized, and all legal entities.
  3. Assist, screen, and direct in-person, telephone, and email inquiries.
  4. Update and maintain staff ID badges, access, and information.
  5. Assist with posting results as required.
  6. Ensure timely processing of all transactions noted in the HR Request System (HRRS) and the Human Resources Information System (i.e. MyHSN) (e.g. tax and banking changes, schedule types, name changes, address/phone changes, etc.).
  7. Support submission of Immigration Program documents as required.
  8. Draft general forms, letters (including letters of employment), reports, and memos as required.
  9. Maintain HR equipment and supplies, and manage and distribute all incoming mail for HR, including personnel and Payroll files.
  10. Ensure compliance with collective agreements, policies, procedures, and applicable regulations; bring forward any deviations for review and remedy.
  11. Advise and provide support to Managers with all transactional HR functions, and ensure proper assignment as required.
  12. Assist in the maintenance and filing of accurate and comprehensive personnel records and documents.
  13. Assist and provide support to Payroll personnel as required.
  14. Compile and analyze various reports as required.
  15. Participate in annual and ad hoc surveys as required.
  16. Establish, review and revise processes and procedures related to HR Administrative functions as required.
  17. Assist with HR employee and student orientation and training.
  18. Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
  19. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  20. Educate and promote health, safety and wellness in the work place.
  21. Represent the department or program on various committees and in meetings as required. 
  22. Perform other duties as required. 


QUALIFICATIONS

 

EDUCATION AND TRAINING: 

  1. Minimum of a one (1) year Diploma in Human Resources Management (HRM) or Business Administration, from an accredited college.
  2. Current Certificate as a Certified Human Resources Professional (CHRP) or working towards, is preferred.
  3. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.


EXPERIENCE: 

  1. Minimum of one (1) year experience working in office administration, Human Resources or within a unionized environment.
  2. Recent experience working with Human Resources Information Systems is preferred.
  3. Recent experience working in a unionized environment within a Recruitment and/or Labour Relations (LR) field is preferred.

  3. Demonstrated training, experience or utilization of lean methodology for process improvement.

  5. Demonstrated excellent computer skills with proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
  6. Demonstrated superior interpersonal and communication skills, both written and verbal.
  7. Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.
  8. Demonstrated discretion and maturity when handling confidential information.
  9. Demonstrated commitment to the safety of co-workers and patients.
  10. Demonstrated communication skills for interaction with internal and external parties.
