KEY FUNCTION

Oversee, coordinate, and address all matters pertaining to resident placement, and promote the academic mission of HSN.

 

REPORTING:   

Under the general direction of the Director, Academic and Research Impact.

 

DUTIES:

  1. Coordinate placement plans for each resident; monitor weekly schedule and placement with clinical preceptor.
  2. Work collaboratively with the Northern Ontario School of Medicine’s (NOSM) clinical scheduling to confirm resident schedules.
  3. Process, screen, and verify resident applications to ensure that all credentialing requirements have been met.
  4. Coordinate learner schedules with each department's program Directors, site Directors, Chiefs, and/or affected medical staff.
  5. Ensure all residents have successfully completed legislative-required self-learning packages with continued monitoring for expiration/renewal.
  6. Provide orientation to incoming learners, including assigning pagers, scrubs, lockers, dictation numbers, call rooms, photo identification, parking information, HSN policies and procedures, and appropriate Information Technology (IT) access and training.
  7. Maintain a database of all resident rotations, including visiting residents on electives.
  8. Review the quarterly Medical Trainee Data (MTD) from NOSM for accuracy before submitting to the Ministry of Health and Long-Term Care (MoHLTC).
  9. Plan, measure, and forecast capacity of HSN and its medical staff in conjunction with the Vice President of Academic and Medical Affairs.
  10. Advocate for residents by addressing questions, concerns, and feedback effectively and confidentially.
  11. Act as a staff resource on HSN’s Internal Medicine Academic Committee (IMAC), Sudbury Joint Relations Committee (JRC), and on other academic/accreditation meetings; prepare notices, agenda, minutes, and follow-up.
  12. Promote recruitment opportunities with residents to make practice opportunities visible.
  13. Identify future candidates within senior learner groups and act as their liaison with the Physician Recruitment Advisor. 
  14. Work collaboratively with the Occupational Health and Safety department regarding any incidents and/or medical exposures to residents to ensure no harm is done to learners, patients, or staff.
  15. Create reports and develop policies.
  16. Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
  17. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  18. Educate and promote health, safety and wellness in the work place.
  19. Represent the department or program on various committees and in meetings as required. 
  20. Perform other duties as required. 

 

QUALIFICATIONS

EDUCATION AND TRAINING: 

  1. Minimum of a three (3) year Diploma in a related field, from an accredited college.
  2. Additional specialized training is preferred.
  3. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

 

EXPERIENCE: 

  1. Minimum of two (2) years’ experience working within a health care environment.

 

KNOWLEDGE/SKILLS/ABILITIES: 

  1. Demonstrated knowledge of the Professional Association Residents of Ontario (PARO). Agreement.
  2. Demonstrated excellent presentation skills.
  3. Demonstrated training, experience or utilization of quality improvement methodology for process improvement.
  4. Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
  5. Demonstrated excellent computer skills with proficiency in Microsoft Office software, e.g. Word, Excel, Power Point and Outlook and patient information systems.
  6. Demonstrated superior interpersonal and communication skills, both written and verbal.
  7. Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.
  8. Demonstrated discretion and maturity when handling confidential information.
  9. Demonstrated commitment to the safety of co-workers and patients.
