KEY FUNCTION

Provide efficient clerical support to the department while supporting departmental activities.

 

REPORTING:   

Under the general direction of the Clinical Manager, Violence Intervention and Prevention Program, VOICES for Women and Pediatric Ambulatory Care Unit.

 

DUTIES:

  1. Compile program statistics and type correspondence, reports, and letters.
  2. Maintain filing systems and order office supplies.
  3. Answer telephone calls, respond to general inquiries, and refer calls to appropriate resources as required.
  4. Receive, open, and distribute departmental mail.
  5. Record and distribute minutes of meetings.
  6. Complete bi-weekly payroll, and MyHSN scheduling changes as required.
  7. Compile and maintain databases for Ministry reporting statistics.
  8. Compile, scan and release patient chart information.
  9. Complete petty cash reconciliation.
  10. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  11. Participate in hospital training as required.
  12. Assist with improvement initiatives as required.
  13. Perform other duties as required. 

 

 

QUALIFICATIONS

 

EDUCATION AND TRAINING: 

  1. Minimum of a one (1) year Post-Secondary Certificate or Diploma in office or business administration from an accredited community college.
  2. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

 

EXPERIENCE: 

  1. Minimum of one (1) year recent relevant experience.

 

KNOWLEDGE/SKILLS/ABILITIES: 

  1. Demonstrated ability to type a minimum of 50 w.p.m.
  2. Demonstrated proficiency in data entry.
  3. Demonstrated critical thinking, problem solving, and customer service skills.
  4. Demonstrated discretion and maturity when handling confidential information.
  5. Demonstrated computer skills with intermediate proficiency in Microsoft Office software (e.g. Word, Excel, Outlook) and applicable patient information systems.
  6. Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers. 
  7. Demonstrated interpersonal and communication skills.
  8. Demonstrated ability to prioritize tasks. 
  9. Demonstrated compliance with HSN’s privacy policy.
  10. Demonstrated commitment to the safety of co-workers and patients.

  1. Successful Vulnerable Sector Check is required.
  2. Demonstrated ability to work effectively as a member of an interdisciplinary team.
  3. Ability to use tact and discretion in dealing with health care providers and patients.
