KEY FUNCTION:
Ensure the efficient coordination of systemic treatment plans, and support clinical workflows and optimize patient care by managing complex scheduling and resource alignment tasks.

 

REPORTING:
Under the general direction of the Manager, Systemic Treatment.

 

DUTIES:
1. Coordinate systemic treatment plans based on physician orders, ensuring timely and accurate execution.
2. Manage treatment orders within electronic medical records (EMR) systems, ensuring compliance and accuracy.
3. Schedule and align necessary blood work with treatment plans to reduce unnecessary patient blood draws.
4. Print and quality assess treatment prescriptions for accuracy before submission to relevant departments.
5. Serve as the primary point of contact for patients and their families, providing clarity and support for treatment schedules.
6. Utilize advanced scheduling tools and EMR systems (e.g., Mosaiq) to optimize resource utilization and minimize patient wait times.
7. Collaborate with physicians, pharmacy staff, clinical professionals, and clerical teams to align treatment plans and resolve scheduling conflicts.
8. Monitor key performance metrics such as wait times and patient satisfaction, identifying areas for improvement.
9. Participate in continuous improvement initiatives, refining workflows for efficiency and effectiveness.
10. Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
11. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
12. Educate and promote health, safety and wellness in the work place.
13. Represent the department or program on various committees and in meetings as required.
14. Perform other duties as required.

 

QUALIFICATIONS
EDUCATION AND TRAINING:
1. Minimum of a one (1) year Diploma in a Medical Office Administration or related field, from an accredited college.
2. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

 

EXPERIENCE:
1. Minimum of five (5) years’ experience working in systemic treatment or oncology-related coordination within a health care environment.

 

KNOWLEDGE/SKILLS/ABILITIES:
1. Demonstrated proficiency with EMR systems (e.g., Mosaiq) and familiarity with Ontario Health (Cancer Care Ontario) recommendations and best practices.
2. Demonstrated knowledge of medical terminology and systemic treatment workflows.
3. Demonstrated excellent judgment and proven analytical skills.
4. Demonstrated training, experience or utilization of quality improvement methodology for process improvement.
5. Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
6. Demonstrated excellent computer skills with proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
7. Demonstrated superior interpersonal and communication skills, both written and verbal.
8. Demonstrated effective time management and organizational skills with the ability to organize and prioritize as required.
9. Demonstrated discretion and maturity when handling confidential information.
10. Demonstrated commitment to the safety of co-workers and patients.
