KEY FUNCTION:
Act as the initial contact for the unit and provide supportive service by ensuring clear, concise communication, and facilitating the flow of information with other departments, the health care team, patients, visitors, and family members.
REPORTING:
Under the general direction of the Clinical Manager, Child & Adolescent Mental Health Program.
DUTIES:
1. Process patient admissions, transfers and discharges.
2. Create, prepare and maintain patient charts.
3. Book tests, procedures, appointments and coordinate patient flow.
4. Transcribe and process physician’s orders to ensure accurate and up-to-date patient data profiles.
5. Provide reception and general office functions to the unit (e.g. payroll entry, scheduling).
6. Provide assistance, guidance, and direction to patients and visitors.
7. Answer enquiries and relay telephone calls and messages.
8. Provide updates and reports on unit status.
9. Order office supplies as required.
10. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
11. Contribute to learner development by providing academic support, mentorship, preceptorship and supervision as required.
12. Participate in hospital training as required.
13. Assist with improvement initiatives as required.
14. Perform other duties as required.
QUALIFICATIONS
EDUCATION AND TRAINING:
1. Minimum of a one (1) year Diploma in a Medical Office Administration or health related field from an accredited college.
2. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.
EXPERIENCE:
1. Minimum of six (6) months’ recent relevant experience required.
KNOWLEDGE/SKILLS/ABILITIES:
1. Demonstrated knowledge of and proficiency with Medical Terminology.
2. Proficiency in data entry.
3. Familiarity with computerized Patient Information Systems.
4. Demonstrated computer skills with advanced proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and applicable patient information systems.
5. Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers.
6. Demonstrated interpersonal and communication skills.
7. Demonstrated ability to prioritize tasks.
8. Demonstrated compliance with HSN’s privacy policy.
9. Demonstrated commitment to the safety of co-workers and patients
